Case Study 1.0 — One-to-One Programme

From a box of unsorted papers to a lodgeable folder in three sessions

Challenge

A retired civil servant in Klang had accumulated eleven years of pension statements, tax clearance letters, and employment records in a cardboard box. He was due to apply for a specific benefit but did not know which documents were required, whether his copies were complete, or which office to contact first.

What Quietharbor Did

Over three sessions, an assistant sat with him and worked through the box systematically — sorting by document category, checking legibility, making consistent copies, and typing the form fields as he dictated. Two questions about his entitlement were noted in writing for him to raise with the Jabatan Perkhidmatan Awam directly.

Outcome

He left the third session with a completed, organised folder ready to lodge. The referral notes directed him to the correct counter. He reported back by telephone that his application had been accepted without requiring any further documentation.

Case Study 2.0 — Annual Stewardship Plan

Giving a family the information they needed before they needed it

Challenge

An adult daughter living in Kuala Lumpur was concerned that her retired parents in Shah Alam had no organised record of their pension and savings documents. Her parents were healthy but in their early seventies, and she was aware that locating documents later could be complicated if they were not in order.

What Quietharbor Did

The stewardship plan was enrolled for both parents as a household. An initial inventory identified fourteen document categories. A labelled physical folder and mirrored digital archive were set up. Quarterly reminders were sent by email to both the parents and the daughter. The annual review meeting was attended by the daughter via a phone link.

Outcome

At the end of the first year, the family received a one-page summary sheet listing all documents, their location, and relevant contact details for each issuing body. The daughter described the sheet as something she had not known she needed until she had it.
